Brief for campus facilities teamsJohn TauchusNovember 2026
New buildings should arrive as usable data, not just models and binders.
Campuses already pay for BIM models on major projects. Yet most of what facilities teams need, such as which equipment was installed, where it is, its warranty and its service schedule, still arrives as PDFs, record drawings and O&M binders. Staff then type it into maintenance and energy systems by hand after the building opens. A small set of owner requirements changes that.
See the role I’m proposing and its first-year timelineWhere turnover data breaks down
- Requirements come too late. If the owner doesn’t define the data it needs before design, every design and construction team delivers it differently.
- A model is not a data set. A closeout BIM model rarely carries the consistent equipment names, tags and attributes a work-order system can import.
- Re-entry becomes the default. Maintenance staff rebuild asset records from O&M manuals, often months after occupancy, while preventive maintenance waits.
What leading owners do instead
- Before designDefine owner information requirements: which equipment to track, which attributes, and one naming and tagging rule. ISO 19650 provides the framework; COBie is a common US handover format.
- ContractsWrite those requirements into design and construction agreements, so data is a deliverable like drawings.
- Each phase gateCheck the data as the project progresses, not only at closeout, when fixes are slow and costly.
- TurnoverLoad the data straight into the work-order system, building automation, metering and space records.
- OperationsKeep it current as equipment changes. The model becomes a live digital twin of the building.
Who benefits
Campuses already doing it
- University of Florida researchers and facility managers presented a campus digital twin built on Autodesk Tandem to improve campus operations (Autodesk University 2024).
- Georgia Tech published a framework combining laser scanning, BIM and live dashboards for building maintenance, tested on a campus building with 509 modeled equipment items (paper).
The role I’m proposing
Director, Campus Digital Twin & Facility Information
One owner-side lead who makes sure every building the campus designs, builds or renovates is turned over as structured data that operations, energy and space planning can use from day one, and who grows that into one connected digital twin of the campus.
- Own the campus BIM and asset-information standard, as an update to the existing design guidelines.
- Put the requirements into design and construction contracts, and check deliverables at each phase and at turnover.
- Connect turnover data to the work-order system, building automation, metering and space records.
- Chair a cross-unit facility data group: design & construction, maintenance, utilities, sustainability, space, IT and the medical campus.
First-year timeline
- Months 1–2Listen & inventoryMeet maintenance, utilities, sustainability and design teams; map today’s systems and handover steps.
- Month 3BaselineMeasure hours to load a new building into maintenance, missing equipment records and energy data coverage.
- Month 6Standard approvedOwner information requirements and the revised deliverables guideline signed off by design leadership.
- Months 9–12Two pilotsOne project turned over as data straight into maintenance; one existing building scanned and twinned with the maintenance team.
- Month 12Results & roadmapRe-measure the baseline; 3-year campus roadmap with costs, platform options and a medical-campus track.
Decision gates: leadership approves before the next phase.
